Client Operations Assistant

Location: In-Person (New Castle, DE)

Incredible One Enterprises® is hiring a Client Operations Assistant to support our client delivery and internal operations. This in-person role is the heartbeat of our HQ—making sure our clients feel seen, supported, and served at the highest level while ensuring the back end of the business runs like a well-oiled machine.

You’ll manage contracts, billing, and CRM updates, send client gifts and materials, coordinate retreat logistics, and make sure deliverables from meetings are captured and tracked. You’ll be the right hand to our VP of Operations, supporting live events, managing inventory, and following up relentlessly to keep projects on task.

  • Are tech-fluent and systems-literate (Google Workspace, CRM, ClickUp, etc.)

  • Are comfortable lifting, packing, and traveling as needed (retreats, events, etc.)

What You’ll Do

  • Manage contracts, billing, onboarding, and client account updates
  • Track payment plans and resolve billing issues in partnership with bookkeeping
  • Respond to client inquiries, portal access issues, and fulfillment needs within 24 hours
  • Coordinate and attend quarterly retreats, handling logistics and on-site support
  • Track deliverables in ClickUp and update client records in CRM
  • Support internal team meetings, SOPs, event prep, mail, and inventory
  • Fulfill orders for books and materials and maintain supply levels

You Bring...

  • Minimum 5 years of professional experience in admin, billing, or operations roles
  • Experience in service-based or coaching businesses preferred
  • Strong written/verbal communication and emotional intelligence
  • Proficiency in Mac OS, Google Workspace, CRM and project management systems
  • Experience using billing or shopping cart platforms (QuickBooks, Keap, ThriveCart, etc.)
  • Reliable transportation and ability to lift/handle up to 50 lbs
  • Availability to travel ~7 weeks/year for client retreats and events

Bonus Points If You…

  • Have experience in faith-based organizations or fast-growing small businesses
  • Have familiarity with Keap, ClickUp, or digital fulfillment platforms
  • Are energized by process improvement and proactive support
