Executive Coordinator
Location: Hybrid (New Castle, DE + Travel Required)
Position Type: Full-Time
Reports To: VP of Operations Salary Range: $52,000-$58,000 per year

What You’ll Do
- Support the CEO directly by managing her calendar, travel, and internal communications
- Travel with the CEO for select speaking, podcast, and consulting engagements
- Coordinate podcast guest outreach, scheduling, and follow-up
- Manage speaking logistics—including calendar coordination, tracking contracts, communicating with agents, sending marketing assets, and preparing onsite materials
- Coordinate with marketing, sales, operations, and finance to ensure all visibility-related logistics are executed smoothly
- Track affiliate and ambassador relationships, and support post-event follow-up (LinkedIn, meetings, etc.)
- Attend select leadership meetings to track progress, update ClickUp, and ensure deadlines are met across departments
- Support special consulting projects led by the CEO, including strategic RFPs and private client opportunities
- Keep internal systems, trackers, and files up to date with all executive-level priorities, timelines, and documentation
You Bring

Minimum of 7 years in executive support, project coordination, or marketing/ops support roles

Strong written and verbal communication skills

Detail-oriented, tech-savvy, and solutions-focused

Experience managing calendars, travel, and cross-departmental logistics

Proficiency with Google Workspace, ClickUp, Keap/CRM tools, and digital file management

Strong sense of initiative, ownership, and internal drive

Emotional intelligence and professional polish—especially in high-pressure environments
Willingness to travel up to 25% of the time, including some short-notice events

Have worked in a founder-led or personal brand business

Are familiar with podcast production, speaker booking, or affiliate marketing

Have coordinated strategic consulting projects or supported RFP submissions
